Privacy Summary

PulseVault is designed for privacy. We do not sell or rent your information. Your content (documents, notes, and credentials you store) is treated as private payload. The Service is designed so we do not access or read payload content in the ordinary course of providing the Service. When a release triggers, only the recipients you selected can access the secure portal link.


PulseVault Privacy Policy

This Privacy Policy describes how the provider of this PulseVault deployment (“Provider,” “we,” “us,” “our”) collects, uses, and discloses information in connection with the PulseVault service (the “Service”) offered through this website (the “Site”).

1. Scope

This Privacy Policy applies to information collected through the Site and Service, including from account holders (“Users”) and individuals who receive Service emails or access links (“Recipients” and “Confirmers”).

2. Information We Collect

  • Account Information: name, email address, username, authentication data, and account preferences.
  • Service Configuration Data: schedules, confirmers, recipients, profile settings, reminders.
  • Payload Content: documents and content you upload or enter (“Payload”).
  • Audit & Access Data: email sends, confirmations, releases, portal visits, downloads, IP addresses, device/user agent, timestamps.
  • Technical Data: cookies and similar technologies used for authentication, security, and essential functionality.

3. How We Use Information

We use information to operate and secure the Service; send check-in/confirmation/release emails; prevent fraud and unauthorized access; maintain audit logs; provide support; comply with legal obligations; and enforce agreements.

4. We Do Not Sell or Rent Personal Information

We do not sell, rent, or lease your personal information or Payload to third parties for monetary consideration or for their independent marketing purposes.

5. Limited Disclosure

  • To your designated Recipients/Confirmers: Recipients receive the Release Portal link if a release triggers. Confirmers may confirm check-ins.
  • Service providers: hosting and email delivery providers may process data only to operate the Service and are restricted from independent use.
  • Legal requirements: we may disclose information if required by law or to protect rights/safety and prevent abuse.
  • Business transfers: information may transfer as part of a merger/acquisition or similar transaction, subject to law.

6. Payload Confidentiality and Provider Access

The Service is designed to minimize Provider access to Payload content. Provider does not access or review Payload content in the ordinary course of providing the Service. However, no system can guarantee absolute confidentiality against all threats, and certain administrators or hosting operators may have technical control of the environment. We do not promise that any content is immune from compromise or legal process.

7. Data Security

We use safeguards designed to protect information, including access controls and encryption where appropriate. No method of transmission or storage is completely secure.

8. Retention

We retain information as necessary to provide the Service and comply with law. Audit logs are intended to be retained for at least three (3) years unless otherwise required by law.

9. Cookies

We use cookies for authentication, session security, and essential Service functions. Disabling cookies may prevent login or secure portal access.
